Hello there CEO. How are you today? Are you just fabulous? Are you loving this? Are you getting so much out of this? Look for the small wins, they're there. More are coming. And I'm so excited for you. So give me hashtag live hashtag replay the sun is like coming in, which feels so good. But if I'm squinting a little bit, I might have to grab some sunglasses. But I shut the blinds but it looks so dark. And I was like no, this is like a very exciting, happy video, we need all the sunshine because it's your time to shine. If that's cheesy, I'm sorry, but it is your time to shine. So, so excited that you are here and most importantly, taking action, we're gonna get into some juiciness today. So we were really working on your life. And you first which is important, those things tend to get pushed to the side, but then you feel burnt out and you feel frustrated, you've started to get in a funk. So those things by design were first. But now it's it's time to talk some business. Okay. So today's focus is streamlined operations, because we're wasting most likely a lot of time trying to do the day to day we're being really reactive rather than proactive. And this is hard to make the money that you desire, when we're constantly on everyone else's schedule, right? I love the saying your emergency is not my priority. But so often, that's how we operate. And so today, we're gonna talk about your streamlining your operations to really reduce that administrative time. So we can have time to market and sell so we can make a lot of money. Okay, so we've got to do this in order to do to make the money that you desire, because most likely you're burning a lot of energy running around being reactive, and trying to figure things out. So I have few categories today that I want you to score on a scale of one to 1010 being like you're crushing it, it's super streamlined, there's really no room for improvement there. Five would be like, in the middle, obviously. And one would be like SOS, like I need a system I need to streamline this it is it's costing me so much time and energy. So I've got a few categories for you that I want you to score, of course, feel free to comment on the video. But I also want you to do this in a notebook. So that way we can have that record of it and move forward. So the first one is streamlining your task. So where are your tasks living like the day to day of your business? Right? Are they in a task management tool? Are they on pen and paper? Are they in your head? Or are they on a bunch of post it notes all over the house? Or do we have nothing right? Where we don't even know what we need to do? It's not even in our heads. So a 10 would be like You're crushing it like everything's in a task management tool. It's operating like a well oiled machine and your task management tool tells you exactly what to do and you do it because you could have a task management tool and not follow it. Right. So give yourself a score from one to 10 Okay, 10 being you're crushing it, five being in the middle and one being like SOS somebody help. Okay, so that's the first category because your tasks can take over if we're not careful, right. So we use something called Asana a s a n a.com. It is free There's also a tool called Trello, te R E, ll o also free. There's clickup that has a free option. There's Google Keep, I really do like a digital task management tool. This is great to scale your business. If and when you have team members or add team members. But even if you have no team members, this is great for you. Because I love getting into Asana, like I was in I'm it's up on my computer right now. It tells me exactly what I need to do. I love it. It's like my boss. I'm like, What do I have to do today? Right? What do I get to do today is and so I have a team. And I can see them checking tasks off, we can actually communicate in there too. And we pay nothing for this service. By the way, it saves us so much time and money. It's it's mind blowing. So that's the first category that I want you to score. Okay, the next category is passwords. So I know Google Chrome has a great cat password like storage. So passwords do they do we constantly have to reset your passwords? Do we not know your passwords? Is it stressful every time you're trying to log into something if it's not automatically saved? So on a score, or on a scale of one to 1010 being like, Oh no, this is not a problem for me. 10 That would be 10. Okay, so score yourself when it comes to password keeping password protection, password sharing all of those things because it can suck up so much time. It's ridiculous, okay, we use something called a last pass l a s t, pass P A S S, it is phenomenal. And free and also cheap if you have to upgrade. But this has been great to share passwords to keep passwords, it literally runs our operations, which is nice. And if you have team members, they don't know the password, they just have access to log in. So if you ever need to remove them, it's really really easy to do that. So score yourself from a password storing standpoint. Okay, the next category is notes. So notes are like meetings that you're going into write notes that you have we there, our brains are thinking of so many things outside of the task. So where do your notes live? Okay, is that the note section on your phone or computer? Is it something called Evernote? Do you keep everything in Google Google Docs, where do your notes live, so we can easily search for them and have access to them. So we love Google Drive. Google Drive is my jam. We have documents in there, we have photos in there. I often take notes in there. We'll even do notes in Asana if it's related to a task. But I really do love just like opening up a Google Doc. And just like typing it, like makes my heart so happy. So score yourself from a note standpoint of like, where do our notes live, so we don't lose them. I really do like pen and paper too. But getting them into something like Google, Google Drive, or Evernote, or your Notes section is really, really powerful. Because we're going to lose pen and paper we just are in law, my daughter will come in and like draw on things. And I'm like, No, right. So pen and paper have a time and a place. But eventually it needs to go somewhere else. Okay, so that's the next category, we have two more categories. Okay. The next one is your calendar. Management. So do we keep a paper planner? Do we keep a? Do we have Google Calendar, Outlook, but like, where are all your meetings living? So that way, we can make sure that you don't forget anything. I always say if it's not on my calendar, it literally does not exist, right? So I want you to give yourself a score from one to 10 to me, like, oh, no, this is great. I use Google Calendar, it runs my day, I have everything in there. I know exactly what I need to do, where I need to go all of those things. And this includes your life to write. I've even talked to clients when they started with me in the past. And they have like, a paper planner for their personal life in a like Google Calendar for their work life, but then they're not talking to each other. Right? So I would if that if that were you, I would give you a score of like five or six because, yes, do we have a system in place? Fantastic. But like, what if we forget the paper plan? Or what if we lose the paper planner? What if there's overlap where you have a work event, but you're supposed to be at your daughter's like dance recital? Right? If they're not speaking to each other, it can make it really, really difficult, right? So give yourself a score one to 1010 being the highest for your calendar. We love Google Calendar, it runs my whole life, life all the things my husband doesn't have access to it because he's seen it and it like stresses him out. So him and I communicate on a weekly basis of like, what's going on we we essentially do like a weekly how at all, if you will, he would laugh. I call it that. But like, what's going on? What is he need to know about? We go to Disney really soon. So we were talking about that. So just all the things so we we constantly are in communication from a family aspect. But I keep everything in my calendar from when I need to drop off my daughter to what meetings I have, what when I block off time to like record reels. Like my calendar runs the show just as much as Asana runs the show. So they're like, they're like a tag team to, to keep me in check. And then last but not least, is the loom and gloom, the black hole that stresses so many people out, which is email. Okay. So give yourself a score from one to 1010 be like, No, my email is totally under control. It doesn't stress me out on that one being the complete opposite. Okay, so I've had a love hate relationship with email. At this moment. I love email. Because I finally feel like I have a control on it. It was when it was constantly getting backed up. People were waiting on me it just the energy felt awful. And so I've gotten a really good routine of Tuesdays and Thursdays being my like my deep dive for email responding days, like I'll check it Monday, Wednesday, Friday. But I have more time on Tuesdays and Thursdays right. So that still is a really quick response. I take care of what I can on Monday, Wednesday, Friday, my team is also in there taking care of what they can. But it is really, really helpful because there's just this constant pulse on everything. If there's a bill that needs paid, if there's a response that needs done our same thing with like our direct messages, we just get a lot of messages on so many different things. There's it's constantly refilling backup. So having that constant time and attention on it. And also people has been a game changer where it feels very, very manageable now, and not stressful. And I also shifted my energy around it of like, No, this is a great, easy way to communicate with people, I love it. And I used to be like, Oh, I hate email. And that was the energy that I was coming into. There's also tools where you can unsubscribe, and those are super, super helpful. unsubscribed.me is one of them. It literally will pull your email and tell you everything you're subscribed to. And you can say, okay, I don't want that. I don't want that. I don't want that I don't get a lot of like promotional emails, besides like my friends that I'm on their email list. Like I want to know what's going on in the world. But other than that I like have unsubscribed from like all the shopping. Because if I want to shop, I'll go look for this deal. Right? I don't want to in my inbox. Because even if I have to go in and delete it, it's energy, right? So I want you to give yourself a score from an email perspective, you can also emails and DMS, if you're more of like a social seller. So emails and DMS can go together. So like those are the messages, if you get more phone calls or text messages, you can also clump those into that score. Okay, so now from here, what we're looking for is the room for opportunity based on your score. So if you're at like an eight or a 10, it's, it's most likely operating really, really well for you. And there's most likely not a lot of room for improvement. So we don't really want to worry about those. We want to worry about like the sixes, the fives, the fours, the threes, the twos, the ones, maybe even a zero, right. And I want you to prioritize them from lowest score to highest score, because the lowest score is probably sucking up the most amount of your energy, right? So that's the one that I want you to become positively obsessed with. Right? So if it were your tasks, if you just spent a day, a few days, really organizing your tasks, everyone's brains are different to really understanding who you are. So a couple years ago, I got diagnosed with ADHD, I finally feel like I understood who I was, I was beating myself up so much before that, because my brain just works differently. And so I've been able to really understand who I am, how I operate and own it so much more to be able to work with myself rather than against myself. I don't want you to have to rewire your whole brain that is that's exhausting. We don't want to have to do that. Right. So let's really work with you. Let's find the system that works best for you. And sometimes that takes a little bit of trial and error, but it's the commitment. It's the dedication to figure out what that is. When we have our call. We can absolutely talk about this. This is one of my favorite things to talk about because I know how much time it's sucking up for you. So feel free to bring that up on our call. But really looking at that one With score and focusing on that, that one first is going to be a game changer, because I guarantee you there is so much time that is being wasted by not taking care of this. So spending a day or a couple of days really getting the super organized. If you can hire somebody to help you to do this, there's plenty of people out there that love this type of stuff, and would be delighted to support you. And sometimes that's actually a better use of your time and money to just say, Hey, can you come in and help me organize this, like, my brain doesn't work this way. And I'm really trying to figure this out. Fantastic. And if you need any recommendations, again, on our call, bring that up, and we can talk about it, okay, but easily, easily, you are wasting most likely at least 10 hours a week, in one of these categories. I'm not even joking it because it's not necessarily always the actual time. It's the mental equity that we're wasting, when you are constantly trying to log into passwords, and it's not working and you have to reset it, your energy levels go way down, okay. And we're going to be talking about marketing and sales coming up, right? And your energy, your dream clients are operating on a really high frequency, right. And so if your energy keeps going down, we can't even connect with them. Right? They're up here. And because of your operations, your energy keeps going down, that you can't even talk to them. Right. And so protecting your energy is one of the biggest things that I have learned is to really be like a mama bear when it comes to my energy. And if anything is starting to suck the energy out of me. It goes, it gets deleted, delegated automated, whatever I can I take it so seriously, because I know how impactful it is for my business, for my mental health for me for my life for my family, all of it, right? Because we don't want you to come home. With no energy. We want you to come home and be like, Oh my gosh, babe, I closed so many deals today, I felt so productive. I got so much done. I feel so good. I made a huge impact. Like what's for dinner? Like, let's go out to dinner, right? Dinner's on me, right? So that's how I want you to show up. Right? And so it takes you getting in the driver's seat, right? And, and really committing to this, right. That's the biggest thing with CEO week that I really want you to hone in on is like, if it's to be it's up to me, right? You started your business, you've set your financial goals, you know, what your what is on your vision board. And you're straight and streamlining your operations is one of the most important things that we can do to help get you there faster. And to also make sure you're not so stressed, right? This is going to save you so much time, and it's going to help you make more money, I promise you. So I want you to look for that number one area. And let's get obsessed with that and make it happen. On our call. If you need help, let me know. Okay, but I want you to circle that. And I want you to at least take one step moving forward with that. If we look at Asana, fantastic, if we open up Google Calendar and start putting in dates, if we sign up for LastPass, let's sign up for LastPass. But I want you to take one small step for that lowest score. So we can move forward, we're really looking for at least one win per day and see a week so that way we can really stack up our wins at the end of the week and be like, Oh my gosh, I have over five amazing wins from just this week. Right? It's so powerful. It's just been one week together, like what's possible in a month, what's possible in 90 days, what's possible in six months and a year, right. And so it's really having that constant pulse on what needs your attention the most. Because, unfortunately, it feels like if you're not organized, everything needs your attention. And you're like, Man, I can't handle all of it. So the last thing that I want to leave you with is people, okay? Once we've streamlined operations, what I want it to have in the back of your mind is then it comes down to people systems first, then people, people are one of your best assets. And I'm including you in that. Okay? So I want you to decide what your top three priorities are at the beginning of the week, every single week. So I do this with my inner circle. I even have my post a note because I love being my own student. Let me see if I can grab this off my computer. So I even have my own post it note of my top three priorities and it sits on my laptop every day. And I see it and then the following week I check in and how did I do? Did I move forward? Does that need to be an A priority again? Or is it time to call in something new, right? And so this has been so powerful because as Parkinson's Law, however long we give ourselves is how long things will take, right? So if you give yourself a whole month to do something, guess what? It's going to be until month end that you do it. So that's why yes. Do I want you to have 30? Day goals? 90 day goals, year long goals? Absolutely. But then we need to chunk it down and, and really figure out, okay, based on those goals, what do I need to do this week to be successful? What are the top three priorities, because then we can make some really powerful decisions with your time, right to make sure that your time is going to the right thing. So when we talked about marketing, and we talked about sales coming up, the top three priorities are really, really helpful. So that way, everything can align the way that we need it to, for you to be successful, as stress free as possible. So to sum everything up, you are picking your lowest score, okay, from you're streamlining your operations, and we're focusing in on that and doing one small step. So if that's passwords, we're logging into LastPass. If it's tasks, we're opening up a task management tool, and at least testing it out and brain dumping everything in just as a few examples. And then from there, I want you to decide, what are your top three priorities for the rest of this week, right, whenever you're watching this video, what are your top three priorities, because then we can start getting getting in the habit of it. And I want you to make a post a note to and put it on your computer or phone wherever you're going to see it every single day. It's one of my favorite habits that I have instilled in my work week has been super, super powerful. So I hope this really helps you and decreases your stress today.
